Term Definition 

Active account

Once created, a GraceBlocks user account is active until deactivated by a user under My profile.
Active Zone When a Zone is active, authorized users can access the Zone. When a Zone owner creates a Zone, it is an Active Zone. It can be deactivated or reactivated by the Zone owner under Zone settings.
Block homepage When creating a Blocks, builders can define what all users see when they first enter the Block. This page is the home tab (home.svg) inside the Block. Use this to provide instructional guidance, relevant links, and/or images to help your users with adoption. Learn more about adding Blocks and configuring the Block homepage.
Block The Block is the foundation inside GraceBlocks. Builders can build Blocks and then put the system inside the Block. Zone Users can see and access only the Blocks inside a Zone where they have been granted user access. Learn more about Blocks.
Block end user The Block end user is any licensed Graceblocks user with a role other than Block builder inside a Block. If needed, Block Builders can control access to information inside the using up to three security levels: Security Access: General, Level 1, and Level 2. Read more about roles and security access levels. 
Block user status

The Block user status references the existence of a relationship and status of a user's GraceBlock's account specifically for a single Block within a Zone. A user can belong to and can have varying statuses for each Zone (see Zone user status) and Block (the Block user status) in GraceBlocks. 

  • Pending Block User: This individual has been created in the Zone and Block but has not yet been invited. 
  • Invited Block User: This individual has been added to and also invited to participate in the Block but has not yet accepted the invitation. 
  • Active Block User: This individual has been added and invited to a Block, has accepted their invitation to join the Block, and have successfully logged into the Zone at least once.
  • Removed Block User: This individual is still an active Zone user but has been removed from accessing the Block moving forward. Note: Historic information about removed Block users is still visible in the Block, even though the user is no longer shown as associated with the Block.

Builder The Builder is the Role for the people who configure and design systems inside of GraceBlocks. There are two types of Builders inside GraceBlocks:
  • Zone builder: This role is given to a GraceBlocks user in the Users Block for <Zonename> (account-multiple.svg) on the Users tab (account-multiple.svg) in the Zone role column. This role is granted by other Zone builders or Zone owners. When the role is assigned to a user, that user can add and manage Blocks inside the Zone, even though they are not a Zone owner.
  • Block builder: This role allows GraceBlocks users to perform administration (building) inside the Blocks where they are granted this authority. The role is granted by Zone builders and Block builders from inside each Block under Account Management (account-group.svg) (to the right of the Block name while inside the Block) in the Block role column. In addition to having the highest security access level granted (Security Access Level 2) for the Block, users with this role can manage users and roles for the Block, configure tabs and fields, and configure detail pages within the Block.

Block role See Role.
Collaboration Inside Blocks, you can collaborate with other Block users about a particular record from the details page. Click Collaboration (account-multiple.svg) to load the panel that allows you to track comments related to the record. Any time another user references you using the @ symbol in this panel, an alert will be sent to you and appear under Notifications (bell.png). These notifications are sent immediately. Collaborator Users can be assigned as a collaborator on a specific record. With this assignment, it is possible to be updated via notifications (bell.png) any time an assigned record is first assigned or updated. These notifications are sent on an hourly basis. Learn more about collaborator assignments.
Copy/Paste While working in a tab using spreadsheet view, you can use copy (CTRL+C) and Paste (CTRL+V) actions to populate multiple cells at one time. Copy data from spreadsheets or .csv files as needed using this function. 💡Note: If you are trying to copy data from another tab, you should first download the data and then copy and paste from the resulting .csv file to ensure the best results. (Some field types will not paste cleanly from a direct copy action). Learn more by reading copy and paste tips.
Details page A user friendly layout of all the information about a record, the Details page is available for each record. Access the details page by clicking the first column label, icon 🔎, or link # (depending on that tab's configuration and view). 
Download While viewing a tab, you can download a .csv file of the records. Read more about downloading records.
Drag Any time you see an icon with dots (drag-horizontal.svg or ) you can click this icon and drag the item into a new position.

The following areas in spreadsheet view also support drag-related productivity options but do not show the Drag icon:

  • You can drag columns to change ordering in spreadsheet view using the hand icon which appears.
  • Drag handle in the bottom right corner of an outlined cell to copy the same value into cells below it. 
    (Pro tip: to drag values of selection fields, such as field-type-single select press Esc when the cursor is inside the cell to exit edit mode and activate the drag option.)
Enterprise Plan GraceBlocks offers a variety of pricing plans. Each Zone where you are a user is on an individual pricing plan, as elected by the Zone owner. The Enterprise plan offers additional volume thresholds, security, and data hosting protocols. Based on the goals of a particular Zone, we can create a custom quote that is aligned with your business needs. Learn more about pricing plans.
Field Block builders add fields to tabs to define the data they will collect inside the Blocks they build. Several field types are supported.
Field callout While editing any field, Block builders can define field callouts to provide additional explainer text to help Block end-users understand the meaning behind the field and how to use it. 
Field type When you add fields to a Blocks tab, the field type to defines what data to be collected into the field. Click here to learn more about the various field types.
Field type: added by

Displays the user who created the record. Learn more: field type: added by.

Field Type: added on Displays the date (and potentially time) when the record was created. Learn more: field type: added on.
Field type: collaborator Allows one or more Zone users to be assigned a role for records that are added to the tab. Learn more: field type: collaborator.
Field Type: counter Automatically inserts a sequentially incremented numeric value to all records that are added to the tab. Learn more: field type: counter.
Field type: date Allows users to specify a date value. Learn more: field type: date.
Field type: email Allows users to provide an email address and also activate email messaging in the tab. Learn more: field type: email.
Field type: formula Allows builders to derive values for records based using functions. Learn more: field type: formula.
Field type: long text Allows users to provide up to 10,000 characters of text into the field. Learn more: field type: long text.
Field type: lookup Inserts information from a relational field type's tab as prescribed. This field is available only after the first relational field has been configured into the tab. Learn more: field type: lookup.
Field type: messaging thread Allows text messaging to occur between Block users and records that have been added to the tab. This field is only visible after a means of messaging with the record has been configured into the tab. (The first available means is adding a mobile number in the phone field type). Learn more: field type: messaging.
Field type: masked text

Creates fields that are masked with hash marks *** limiting the display of all or part of the cells in the field, and allowing only authorized users to unmask these fields. Learn more: field type: masked text.

Field type: multiple select Allows users to select one or more options from a predefined list. Learn more: field type: multiple select. 
Field type: phone Allows users to store a U.S. or internationally-recognized valid phone number in the field. When mobile phone designation is active for the phone field type, it unlocks the use of the field type: messaging thread. Learn more: field type: phone.
Field type: relational Allows users to access and connect records between the current tab and any other tab across the entire Zone. Learn more: field type: relational
Field type: RTF Allows users to provide up to 200,000 characters of formatted text into the field (bold, italics, hyperlinks, checkmarks, bullets and numbers, etc.). Learn more: field type: RTF.
Field type: short text Allows users to enter text into the field. Learn more: field type: short text
Field type: single select Allows users to select one option from a predefined list. Learn more: Field type: Single select.
Field type: system ID Automatically inserts the system's autogenerated numeric value for the record added to the tab. Learn more: field type: system ID.
Field type: updated by Displays the user who last updated the record. Learn more: field type: updated by.
Field type: updated on Displays the date when the record was last updated. Learn more: field type: updated on.
Field Type: URL Allows users to provide a valid URL into the field. Learn more: Field type: URL.
Filter Users can click the Filter icon (filter.svg) from any tab to apply filters to help find relevant records. Any field a user can access in the tab is a filterable item. Once a filter is applied, it will persist on the page for that user until the filter is removed or changed. Users can remove filters through the filter icon or by clicking the X to the right of the displayed filter criteria shown on the page. Learn more: Filtering records.
Filter criteria After a filter has been applied in a tab, the filter criteria display the filters that have been are applied to the list of records. These filter criteria display in bubbles. You can remove each filter criteria bubble by clicking the X on the right side of the bubble. Users can see the filter criteria on the top left of the body section of the page from any view.
Free plan GraceBlocks offers a variety of pricing plans. Each Zone where you are a user is on an individual pricing plan, as elected by the Zone owner. If you create your account from scratch, you will create and be the Zone Owner for the Zone created with your account. Users can also create and own additional Zones from the GraceBlocks homepage, provided that they have supplied a validated mobile phone number at are at least 18 years of age. Upon creation, a Zone starts on the Pro plan and will downgrade to the Free plan automatically after 14 days unless upgrading has been elected. The free supports various features. At any time, the Zone owner can choose to upgrade the Zone, allowing all users to access increased capabilities while working inside the Blocks of that Zone. Learn more about pricing plans.
Function Used in formula fields to set a predefined set of instructions or operations that can be used to process and manipulate data within GraceBlocks. It allows users to perform calculations, transformations, or derive new data based on existing data in a structured and efficient manner. Learn more: see field type: formulas
General end-user The General end-user is a Block end-user who only has access to the security level: general capabilities for tabs and fields, as specified by the Block builder. Read more about security access levels.
GraceBlocks community (Idea Sprout)

Called Idea Sprout, this GraceBlocks community is where users of GraceBlocks can learn, collaborate and share ideas with the team at GraceBlocks. In addition to general discussion, the community supports the ability of community members to suggest and vote on features. GraceBlocks desktop app GraceBlocks offers both a desktop and mobile user experience. The GraceBlocks desktop app is intended for using GraceBlocks on personal computers and laptops and is where users need to access all builder capabilities. 
GraceBlocks homepage The GraceBlocks homepage is where a user first lands when they log into their GraceBlocks user account. From the GraceBlocks homepage, users can access their user profile and the Blocks across all Zones with authorized access. Builders also have enhanced capabilities to build Zones and Blocks from the GraceBlocks homepage.
GraceBlocks mobile app GraceBlocks offers both a mobile and a desktop user experience. The GraceBlocks mobile app can be installed for Andriod and iOS from their respective app stores. 

Height

When working in Spreadsheet view, quick view or with related records on the details page, users can see an option to change the height of the data that is displayed. By choosing the Height icon (short.png, medium.png, or tall.png) with more lines, more information about the list of data will display in the spreadsheet view. 
History Inside Blocks, you can view the history of changes to a particular record from the details page. Click the History tab in the right panel (history.png) to load the history of changes that have occurred to the fielded data associated with the record. Each change is date stamped, illustrates what fields changed, and denotes the user who made the change. The period tracked for history is controlled by the pricing plan of the Zone where the Block is located. (Free: Two weeks, Basic: 3 months, Pro: 3 years). Learn more about history.
Inactive account Users individually own and can choose to deactivate their GraceBlocks account anytime, converting it from an Active account to an Inactive account. Inactive accounts are removed from user license counts in all Zones with the account associated. A user with an inactive account can no longer log into any GraceBlocks for any Zone. If the user creates a new account using the same email and/or phone credentials, GraceBlocks creates for them a wholly new account with no association with the previously inactivated account. As an alternative to deactivating accounts, Zone owners can also remove active user accounts from their Zone, which removes those users from the user license count for their Zone but leaves the accounts for those users active for use in other Zones.
Invited account Users who are not yet GraceBlocks user account holders who are added and invited into Zone have an invited account. Builders invite users through the Send Invite button (which resides in the Zone Users Block for [Zonename] > Users tab (account-multiple.svg) or from the Account Management icon inside every Block (account-group.svg).When this individual logs in using the email address that matches the invitation, the invited account converts into an active account. 
Inactive Zone Zone owners can choose to deactivate an Active Zone, converting it to an Inactive Zone . When a Zone is inactive, no users are authorized to access it. When a Zone owner creates a Zone, it is active. It can be deactivated or reactivated by the Zone owner under Zone settings.
Layout Users can choose which layout they prefer when viewing the details page of a record. This puts panel information (attachments, related records, messages, collaboration, and history) on the left dock-right.svg or bottom dock-bottom.svg of the page, as the user prefers.
Level 1 end-user This is the role of a Block end-user with access to features with security access of general and level 1 for tabs and fields, as specified by the Block builder. Read more about security access levels.
Level 2 end-user This is the role of a Block end-user who while not a Block builder has access to everything available according to security access for tabs and fields, as specified by the Block builder. Read more about security access levels.
Messages Messages are text messages sent or received using the built-in text messaging capabilities of GraceBlocks.
Messaging view When the Field type: Messaging thread is activated in a tab, it unlocks a new view, called messasging view (aka chat view) (chat.svg), that is available for users of the view. While messaging activity is always accessible, users can easily use this view for an experience focused on sending and receiving text messages to one or multiple users. More field attributes toggle When managing the editing of the properties of tab and fields, Block builders have basic options that appear automatically and more in-depth options that appear below the More field attributes toggle. Switch this toggle to on to view the additional configuration options for any tab or field.
Multifactor This is a method of authentication supported for users who log in directly to GraceBlocks when they sign in via username/password. Users signing in via Google or Microsoft should have the option for additional security at login controlled by these identity providers directly. The multifactor option can be enabled for all users of a Zone or individually on a user's profile. Learn more about multifactor.
My profile Users can access My profile (account-circle.svg) from the GraceBlocks homepage or within any Block to manage their personal information. Options include providing an avatar icon, updating and validating contact information, and managing specific Zones owned by their account. Learn more about managing my profile.
Nested fields It is possibly to define a relational field type as nested or hierarchical in nature. Learn more about nested fields.
Notifications Users can use Notifications (bell.png) from the GraceBlocks homepage or from within any Block to access notifications that have trigged for them from the collaboration feature, collaborator assignments, received text messages or emails, and completed download requests. Learn more about using notifications.
Owner Owner is the term for the individuals who have ownership of the Zone. These individuals are responsible for the Zone and control the plan, users, and assignment of building capabilities inside the Zone. 
Pending account Pending accounts exist for users who are not yet GraceBlocks, user account holders who are added to a Zone Users Block of a Zone but have not yet been invited by Zone owners to be a user for a Zone. These users need to be invited through the Send Invite button (which resides in the Zone Users Block for [Zonename] > Users tab (account-multiple.svg) or from the Account Management icon inside every Block (account-group.svg).

Plan Zone owners purchase GraceBlocks by choosing a plan. Plan options include the following: Free, Starter, Pro, and Enterprise. The elected plan determines which features will be available for each licensed user to access the Zone. Learn more about plans and how pricing works for GraceBlocks. 
Private fields Any field can be designated as Private by a Builder when editing a field's advanced settings. Private fields are only accessible to authorized users, as defined in a tab's security settings.
Pro plan The Pro Plan is the second-level paid pricing tier option for GraceBlocks. All of the users in a Zone have a license to access the Zone based on the selected plan and the associated capabilities offered with that plan. Learn more about pricing plans.
Quick view You can use the quick view to view a tab of records in a Block. The view is read-only and the first column is locked in place, indicating the record's identifier. Based on the tab's configuration, this view may be the only available view. If more than one view is available, you can access quick view by clicking the Quick view icon (lightning-bolt-circle.png). Learn more about the quick view.
Record A record in GraceBlocks is a discrete set of data about a particular item. It is represented by a single row of data in a tab, as visualized in the spreadsheet view.
Related records Builders can associate records across tabs and Blocks with one another by using the Field Type: Relational. When this is done the records connected are considered "related records."
Record identifier

For each tab, Block builders can specify up to three fields on the tab to clearly specify records for this tab in various places throughout the Zone. For example, users can find and view records using the record identifier when interacting with related records.

For example, if I'm working with a tab of contacts, I may use two fields, (1) first name and (2) last name, as the record identifier fields.

By default, the record identifier is the first column of the tab. However, after tab creation and once more fields have been added to the tab, you can change this value by editing the tab properties. Read more about managing tabs and defining the record identifier.

Role

Within both Zone and individual Blocks, the user's role controls the available capabilities. There are two types of roles: 

  • Zone role: This role applies to the user throughout the entire Zone. Two Zone roles exist, Zone owner and Zone builder. The role is assigned in the Users Block for <Zonename> (account-multiple.svg) through the Users tab (account-multiple.svg)> Zone role column. It is granted by other Zone builders or Zone owners.
  • Block role: This role applies to the user for the specific Block. Four Block roles exist, Block builder, General User, Level 1 User, and Level 2 User. (The latter three are also known as Block end users.) The Block role is granted from inside each Block, under Account Management (account-group.svg) (to the right of the Block name while inside the Block) using the Block role column. It is granted by Block builders. (Upon building a Block, Zone builders automatically receive the Block builder role for the Block.)

Section headers Section headers are numbered areas that can be labeled by the Block builder on the details page of of a record. Block builders can also drag around the fields and section headers as needed. The purpose of section headers is to allow the most logical grouping of information for Block end-users viewing this information. 
Security Access: General Security Access: General is a Role that is available when adding Block end users to a Block and the default setting for access to Block tabs and fields for Block builders. Grant this role to end-users who should not be able to access sensitive information inside the Blocks they are authorized to access. When builders add users to Blocks, they can control the user's Role inside the Block. If a Block builder does not put sensitive information inside the Block, there may be no need to think much about this concept. However, security options exist should there be a need to control who can access or do certain things within Blocks. Block end-users with this level of access do not see any capabilities to which security has been applied. Learn more about security access levels.
Security Access: Level 1 Security Access: Level 1 is a security level that can be set for tabs and private fields under the More field attributes toggle. When assigned by a Block builder, this security level excludes the referenced capability from Block end users who have the role of General User.
Security Access: Level 2 Security Access: Level 2 is a security level that can be set for tabs and fields under the More field attributes toggle. When assigned by a Block builder, this security level excludes the referenced capability from Block end users who have the roles of either General User or Level 1 User.
Send invitation

Send invitation is an action that a Zone builder or Block builder takes after adding a user to a Zone or Block. After the builder adds the user, the Send Invitation button appears on the record row. When the builder clicks the button, GraceBlocks sends the individual an email with a link to access the Zone. Upon validation of their account, the user can enter the Zone with the roles granted to them, allowing them to see any Blocks where they have been given a Block role for the Zone.

Share While viewing a tab, you can provide viewing access to records with individuals with no role in the Block. This feature offers you a way to share information with broader audiences. Learn more about sharing of records.
Spreadsheet view You can use the spreadsheet view to view a tab of records in a Block. The view looks like a spreadsheet, with columns and rows of data. It is the primary view to use when building on GraceBlocks. Based on the tab's configuration and your user block role, this view may or may not be visible. You can access spreadsheet view by clicking the spreadsheet view icon (grid.svg). Learn more about the spreadsheet view.
Starter plan The Starter Plan is the first paid-tier pricing option for GraceBlocks. All of the users in a Zone have a license to access the Zone based on the selected plan and the associated capabilities offered with that plan. Read more about pricing plans.
Support portal The support portal is where you can go to get help using GraceBlocks. Whether it's to search existing content about using the platform, to submit a request for help, chat with a support agent, or collaborate with other users through the GraceBlocks community forum, you can find it all in the GraceBlocks support portal at https://support.graceblocks.com
Tab Tabs function like pretty tables for storing data and act as a fundamental structural component inside a Block platform. Blocks are made up of tabs. Inside each Block, Block builders define each tab, giving it basic system parameters about how it will work, what it will be called, the icon used to represent it, its sequential order in the Block's design, its record identifier, and the fields that will be associated with it. Twilio Twilio is the service that powers the field type: messaging thread inside GraceBlocks. Learn more about field type: messaging thread.
Unused user license This is the number of user licenses purchased by a Zone owner that are not currently assigned to active accounts or invited accounts. It's the balance of licenses that are not being used while purchased and available.
User license While the free plan for GraceBlocks supports an unlimited number of user accounts, all other plans have associated user licenses that must be purchased. The number of user licenses refers to the number of users who can be granted access to the Zone, as prescribed by the Zone owner while purchasing the plan. Zone owners can update and modify purchased licenses under Zone Settings cog.svg > Plan Information: Change Plan. Any user with an active account or invited account associated with the Zone counts toward the usage of the number of user licenses purchased.
Used user licenses This is the number of user licenses pruchased by a Zone owner that is currently assigned to active accounts or invited accounts. Read more about plans.
Validate email and mobile phone  Under My profile, users can manage their account information, including providing contact information like email and mobile phone options. For both email and mobile phones, depending on how you create your account and the features you want to access, you may need to ensure that you complete an email and/or phone validation step. Until the user is validated, you can click not yet verified, and send validation message for the provided contact information.Click this button to initiate the process to validate your contact information. View The View defines the structural arrangement of information for the tab that a user is viewing. There are currently three possible view options: Quickview, Spreadsheet view, and Messaging view. The messaging view option only exists in tabs where the field-type: messaging thread is in use. Spreadsheet view may also be hidden based on the tab's configuration and the user's security access role level. If more than one view exists, users can choose to toggle between views using the View icons ( = quick view, grid.svg = spreadsheet view, and chat.svg = messaging view).
Zone A Zone is the workspace unit where groups of Blocks are built and managed by a team inside the GraceBlocks platform. Each Zone is on its prescribed plan as defined by the Zone owner.

Zone role See Role.
Zone owner These individuals are the custodians of Zones on GraceBlocks. They are responsible for all Block content and all Zone users inside their Zone. Per the terms of service with GraceBlocks, they must be at last 18 years of age. These users have access to every Block inside their Zone. Active GraceBlocks users become Zone owners when they create a Zone using their GraceBlocks account or when they are given this role by another Zone owner of the same Zone. Zone settings Managed only by the Zone owner, the Zone settings area controls key attributes about how a Zone operates, including managing plans, zone names, activation status, mobile messaging numbers, and more. Zone owners can access these settings by clicking the Settings icon (cog.svg) associated with the Zone. Learn more about Zone settings. 
Zone Users Block The Zone Users Block is a special Block, unlike any other Block in GraceBlocks. It is used to manage Zone users. This Block is automatically delivered with every GraceBlocks Zone and cannot be deleted. This Block is accessible only to Zone owner. This limitation is necessary because users who are added to Zones affect the user license counts and the associated pricing for GraceBlocks plans. Once a Zone owner adds a user's email address to the User's tab and specifies their Zone role, they will become a Zone user.
Zone user status

The Zone user status references the relationship and status of a user's GraceBlocks account, specifically for a single Zone. A user can belong to and be at varying statuses for each Zone (Zone user status) and for each Block (see Block user status) in GraceBlocks. For example, even if a GraceBlocks user has an Active Account, their Zone user status may still be Pending or Invited, because this status is specific to the Zone. GraceBlocks account holders can have four possible statuses concerning a specific Zone:

  • Pending Zone User: This individual has been created in the Zone but has not yet been invited. The user was created by a Zone owner using Users Block for <Zonename> (account-multiple.svg) through the Users tab (account-multiple.svg) and adding the individual's email address.
  • Invited Zone User: This individual has been added and also invited to participate in the Zone but has not yet accepted the invitation. The user was invited using the [Send invitation button] either through Users Block for <Zonename> (account-multiple.svg) through the Users tab (account-multiple.svg) or from inside a specific Block under Account Management (account-group.svg).
  • Active Zone User: This individual has been added and invited and has accepted their invitation (that was sent via email) to join. The user has successfully logged in at least once to access the Zone.
  • Inactive Zone User: This individual still has an active account with GraceBlocks, but their account for the Zone has been deactivated using the [Deactivate button] through Users Block for <Zonename> (account-multiple.svg) through the Users tab (account-multiple.svg).
